Moving from a paper bill book to a billing app

Don't start with your whole catalogue

The mistake most shops make is trying to enter all eight hundred items before making a single bill. It takes an entire evening, it's dull, and half of it is stock you barely sell.

Run both for a few days

Keep the bill book at the counter for the first week — not for every sale, just so you're never stuck mid-rush. Most people stop reaching for it after three or four days.

Learn in the quiet hours

Practise in the slow part of the afternoon, not at seven on a Saturday. By the time the rush arrives you want it to be muscle memory, not something you're still thinking about.

What to check before you commit

A few things are painful to discover later:

  • Can you get your data out? If you can't export products, customers and sales, you're stuck with whatever you picked.
  • Does it run on what you already own? A phone is enough for most shops. Needing a new machine is a real cost that rarely gets mentioned up front.
  • Does it work in your language? If your helper reads Gujarati more comfortably than English, that single detail decides how well this goes.
  • What happens when the trial ends, and what it costs after that.

Where the time comes back

The first week is slower — no point pretending otherwise. After that you stop writing the same customer's name for the tenth time, stop adding up columns at month-end, and stop flipping through the book looking for last Tuesday's bill.
