How to send bills to customers on WhatsApp
To send a bill to a customer through WhatsApp, create and save the bill, open Share Bill, enter the customer's mobile number — or leave it blank to choose a WhatsApp contact — and tap Send on WhatsApp. The customer receives a bill link that opens without a BazarBook login.
That is the short answer. Here is the complete process, including GST bills, old bills and the checks worth making before you press send.
How can I send bills to customers through WhatsApp?
In BazarBook, the process takes four steps:
- Create the sale. Add the items, quantities and rates. Choose cash, UPI or udhaar as the payment mode.
- Save the bill. BazarBook generates the bill number and keeps the sale in Bill History.
- Open Share Bill. Enter the customer's 10-digit mobile number. If you leave the field empty, WhatsApp opens its contact picker so you can choose the customer there.
- Tap Send on WhatsApp. WhatsApp opens with a prepared message containing your shop name, the bill amount and a link to the bill. Check the contact, then send it.
You can preview the bill before sharing it. The customer opens the link in their browser; they do not need to install BazarBook or sign in.
What does the customer receive?
The WhatsApp message includes a link to the bill created for that sale. When the customer opens it, they can see the bill details saved by your shop instead of relying on a photo of a paper slip.
That gives both sides a record for:
- checking the items, quantities and total;
- an exchange or return later;
- confirming whether the sale was cash, UPI or udhaar; and
- finding the bill again in the WhatsApp conversation.
The public link is for viewing the bill. It does not give the customer access to your BazarBook account or the rest of your sales.
Can you send a GST invoice on WhatsApp?
Yes. If your shop is GST-registered and GST billing is enabled, create the sale as a proper GST tax invoice. Check the customer details, GSTIN where applicable, item HSN codes and tax split before sharing it.
If you are not GST-registered, you can send a clean plain bill instead. WhatsApp is only the delivery method; the information on the bill still depends on how the sale was created.
Check these details before sending
A ten-second preview prevents most corrections later. Check:
- the customer's name and mobile number;
- item names, quantities and rates;
- discounts and the final total;
- payment mode — especially whether the sale was marked as udhaar;
- your shop name and contact details; and
- GSTIN, invoice number, HSN and tax amounts when it is a GST invoice.
If you want the shared bill to carry your logo, UPI QR, terms or a different layout, set up your custom bill format before making the sale.
Can I send a bill without saving the customer's number?
Yes. Type the 10-digit mobile number into the Share Bill screen and BazarBook opens the WhatsApp chat for that number. If you prefer, leave the number empty and select the customer from WhatsApp's contact picker.
Always check the contact shown by WhatsApp before sending. A bill can contain customer and purchase information, so it should go only to the intended recipient.
How to resend an old bill
Open Bill History, search by date or customer, open the bill and choose Share Bill again. This is useful when a customer has changed phones, deleted the conversation or needs another copy for an exchange or their accounts.
Resharing the existing bill is better than creating a second sale: your stock, totals and reports remain correct, and the customer receives the original bill record.
WhatsApp bills and udhaar reminders are different
A bill shows what the customer bought. An udhaar reminder tells them what is still pending. If a sale is on credit, record it as udhaar first so the amount appears in the customer's khata. You can then send a polite WhatsApp reminder from that ledger when payment is due.
Sending a bill on WhatsApp does not by itself mark the sale as paid. Keep the payment mode correct in your billing software, and record the payment when it is actually received.
